Scheduling Appointments & Sales Transactions
This instructional video will guide you through the short process of scheduling an appointment, as well as performing a sales transaction.
Click on the Appointment Book icon in the toolbar. In the appointment grid, each employee’s name is listed across the top of a column and the time of day is listed down the side. Right now, the appointment book is showing today’s appointments, but this can be changed by clicking on a different day in the calendar.
To schedule the appointment, simply double-click the time slot in which it should be placed. In this screen, find the pet we are scheduling the appointment for. If the pet’s owner is new to the business you can press ‘Add New Client’ to add him or her to your database. If this client has been in the business before, use the search filters on this screen to find the pet. Once you have selected, click ‘OK’. This takes you to the ticket information screen which contains the appointment details.
The client, date scheduled, employee, start time, and pet fields are entered for us already. To select which service the client is requesting, double-click the first ID cell in the grid. This brings up the list of services in the software. Select the service from this list, and click the ‘OK’ button. The service will be added to the ticket. The minutes, description, and price of the service are automatically entered based on the defaults of the service.
To change the minutes or price values on this single ticket, you can click into the field you want to change and overwrite the existing value by typing in a new number. If you need to add more services to this ticket, this can be done by double-clicking the next ID cell and repeating this process.
Once everything has been added to the appointment, you can schedule it by clicking the ‘Schedule/Leave Open’ button. This saves the appointment to the database, and now, it appears on the appointment book.
To transact this sale, double click on the ticket on the appointment book. The total due for the ticket is displayed in the ‘Totals’ section of this screen. In the Tender section, enter the client’s payment method into the Type field and the amount paid in the Tender field. If the tender amount is greater than the amount due, the amount of change owed will be listed back in the Totals section.
Once everything is correct on the ticket, click the ‘Check Out/Close’ button to complete the transaction.
